Most agents think they need more leads to close more business. But the truth is, you already have everything you need sitting inside your database.
Your past clients and sphere of influence already know, like, and trust you. They’d gladly send referrals your way, if you stay top of mind and ask for the business.
The problem is that most agents don’t have a system. They rely on “hope” instead of a plan, and as a result they lose deals… not because clients didn’t love them, but because those clients simply forgot about them.
The National Association of Realtors reports that 78% of buyers say they’d work with their agent again, but fewer than 28% actually do.
That’s a painful gap, but it also represents opportunity.

The Four-Part System to Activate Your Database
Here’s the simple system I teach and use with my agent partners to consistently create closings from the people they already know:
1. Quarterly Phone Calls
The most powerful tool you have is your voice. A personal call once a quarter keeps relationships warm and puts you back on your client’s radar.
The key is to always include an ask:

“Before we get off the phone, quick question. Do you have any friends, family, or coworkers who are looking to buy, sell, or refinance that I could help?”
Agents who use this consistently see 2 referrals for every 13 conversations.
2. Monthly Mailer
People remember what they can touch. A simple, tangible mailer each month keeps you in their mailbox and in their mind.
This could be:
- A market snapshot for their neighborhood.
- A quick homeowner tip.
- A postcard with a recent success story.
The goal isn’t perfection. The goal is consistency.
3. Weekly Email
Your clients are reading email every day. The question is: are they reading yours?
Weekly emails that share scripts, market insights, or simple updates position you as the local expert. It doesn’t need to be long, it just needs to show up every week.
4. Targeted Social Ads
Upload your database into a custom audience on Facebook or Instagram. Run simple, consistent ads that keep your face and your name in their feed.
This is one of the most affordable ways to stay visible, and it ensures they see you even if they don’t open your emails or pick up the phone.
